This policy explains how VetSheet collects, uses, and protects your data. VetSheet is operated by Decennium Platforms Limited ('Decennium'). VetSheet is part of the Peqaboo product family.
Who we are
VetSheet is a veterinary practice management platform operated by Decennium Platforms Limited, a company registered in Hong Kong. We help clinics record consultations, generate clinical notes, and manage patient records.
What we collect
We collect information you provide when creating an account, including your name, email address, and clinic name. When you record consultations, the audio is processed to create transcriptions and SOAP notes. We also store patient records, case files, and clinical data you enter into VetSheet. Basic usage information such as login times and feature usage is collected to improve the product.
How we use your data
We use your data to provide and run VetSheet: generating transcriptions and SOAP notes from recordings, storing and displaying patient records, sending service-related messages, and improving the product. We do not sell your data to third parties.
Audio recordings and AI processing
Consultation recordings are processed using AI to generate transcriptions and clinical notes. Recordings are stored securely and can be deleted by the account holder at any time. Your recordings are not used to train AI models.
Data sharing
We share data with trusted service providers who help us operate VetSheet, such as cloud hosting and AI processing providers. We do not sell personal data. We may disclose data if required by law or to protect the rights and safety of our users.
Data security
We use industry-standard measures to protect your data, including encryption in transit and at rest. Your data is hosted on secure cloud infrastructure with access controls and regular security reviews.
Data retention
We keep your data for as long as your account is active. Recordings can be deleted at any time through the platform. When you close your account, we delete your data within 90 days unless legal requirements say otherwise.
Your rights
You can access, correct, or delete your personal data at any time through your account settings or by contacting us. If you are in a region with data protection laws such as the GDPR or Hong Kong PDPO, you may have additional rights including the right to data portability and the right to object to processing.
Cookies
VetSheet uses essential cookies for authentication and user preferences. We do not use third-party advertising or tracking cookies.
Children
VetSheet is designed for veterinary professionals. We do not knowingly collect personal data from anyone under 18 years of age.
Changes to this policy
We may update this policy from time to time. We will notify you of significant changes through the platform or by email. The effective date at the top of this page shows when the policy was last updated.
